PERSONAL TRAINING TERMS OF SERVICE

Welcome to KC Personal Training and congratulations on beginning your personal training programme.  We are delighted you chose us as part of your commitment to health and fitness.  With the help of your personal trainer you will improve your ability to accomplish your training goals faster, safer, and with maximum benefits. 
 
In order to maximise progress, it is important to follow program guidelines during supervised and (if applicable) unsupervised training days.  Exercise, healthy eating, and a healthy lifestyle are all equally important in your journey to a better you.
 
The following information will provide you with important program policies. Before getting started, please ensure you have understood the following information.

PERSONAL TRAINING
INFORMATION AND POLICIES

  • THE TRAINER:

    • will use their skills and knowledge to design a safe programme of exercise that will take into account the personal goals, fitness levels and exercise likes and dislikes.

    • will provide the coaching, supervision, advice and support that the client may need to help them achieve their goals. The client’s progress will be regularly monitored and the programme revised and adjusted accordingly.

  • THE CLIENT:

    • will commit 100% to the programme as set out by the trainer.  The client should follow the programme and instructions of the trainer to the best of their ability to maximise results and better achieve their goals. 

    • is required to wear appropriate clothing and footwear. Clothes should be clean, comfortable non-restrictive workout attire, and footwear supportive and functional.

  • HEALTH SCREENING:

    • All clients must complete a Pre-Activity Readiness Questionnaire before commencing any exercise programme

    • Your trainer may require a letter of ‘medical clearance’ from your GP.  Please be aware that your GP may charge you for this.

  • SPECIFICS:

    • Trainer and Client shall agree upon the time, program type, content, and location of personal training sessions at the rate agreed at time of consultation.

  • LENGTH OF SESSIONS: 

    • Sessions will last approximately sixty (60) minutes, unless otherwise agreed.

  • PUNCTUALITY: 

    • The Client shall be attired as discussed above and ready to train at the agreed appointed time as lateness may result in a shortened workout.

    • If Client anticipates running late, he/she should contact Trainer as soon as possible. 

    • If Trainer is late, additional time will be added to the session or to subsequent sessions

  • CANCELLATION OF SESSIONS:

    • 24-hour notice of cancellation is required for all appointments

    • Block Purchases:

      • Where notice is given less than 24 hours from the time of appointment, the session fee will be forfeited, unless the appointment can be rescheduled during:

        • the same working week (Mon-Friday) i.e. a session cancelled within 24 hours on Wednesday may be moved to any available time as agreed by the trainer, up to and including Friday of that week. OR

        • the following week in addition to any usually scheduled appointments i.e. a session cancelled within 24 hours may be moved to another day in the following week to any available time as agreed by the trainer in addition to the session(s) booked for that week.

    • Monthly Direct Debit Membership:

      • ​Where notice is given less than 24 hours from the time of appointment, the appointment can be rescheduled without forfeit, provided the monthly session quota has not been exceeded.

  • PAYMENT AND PURCHASES:

    • Payment of sessions must be made in advance.

    • Payment can be made by bank transfer to: HSBC Bank ACC: KCPT Ltd ACC No: 82336448  S/C: 40-06-21 or clients can complete a Direct Debit mandate.

    • All monies paid are non-refundable. Fees may be transferable after consideration of extenuating circumstances at the trainer's discretion.

    • Block Purchases:

      • Block purchases are paid for in advance and all sessions must be redeemed within 6 months from date of purchase.

      • Sessions will be deducted from the block once they have been delivered.

    • Monthly Direct Debit Membership:

      • Clients paying by monthly direct debit must pay the monthly fee in advance and redeem all sessions in the monthly quota by the end of the month. Any unused sessions may be carried over into the following month to be used in addition to the quota for the new month at the trainer’s discretion.

      • Clients must give at least 4 weeks notice if they wish to terminate the direct debit membership.

  • DATA PROTECTION AND PRIVACY POLICY:

    • All personal client information will be kept strictly private and confidential and will not be shared with any third parties without prior consent.

    • Third parties who may be involved are practitioners who have been consulted to work with the client alongside the services provided by the trainer, such as physiotherapists, osteopaths, massage therapists, and functional medicine practitioners.

    • Personal data such as date of birth, body composition measurements, and health markers are collected for the purpose of progress tracking and are kept confidential, and solely accessed via password by KC Personal Training.

    • Contact details such as name, telephone, and email address will be used for communication purposes as well as KC Personal Training marketing campaigns.

    • When a personal training agreement has ended, all client data we will retained for 12 months before being destroyed. 

    • Occasionally images and videos may be shared on social media but only with the clients consent.
